User Administration Policy

Summary

This policy applies to customers who have finished implementing Aqilla and are using the Aqilla Support service. Basic user administration is straightforward - see Reference > Personnel - and should be done by your authorised administrator(s). Our policy is that Aqilla Support does not create, edit or disable users (or change their rights) for you. However, we help you do so yourself if you are authorised to do so.

Some access control work can only be done by an Aqilla implementation or support consultant. We will normally make minor changes free of charge as part of our regular support service but reserve the right to make charges if you ask us to make significant changes.


2) Who (in the customer organisation) is authorised to administer users?

To administer users you need to be able to access Reference > Personnel > Person Edit. To access the Reference tab you need to have a User Type of Pro or Line of Business and you also need to have a role that gives you access to the Personnel and Person Edit views.

It is good practice to make the Personnel and Person Edit views restricted by default such that users cannot see these views unless they have been explicitly granted a role that includes permission to do so.

If you are the senior person responsible for the finance function at your organisation and you are not sure who in your organisation is authorised to administer users, please e-mail support@aqilla.com for initial advice. We will provide initial advice as part of our regular support service but we may recommend that you contact your account manager to arrange for a chargeable review of your user administration policy if we feel that is appropriate for you. 


3) Who (in the customer organisation) will Aqilla Support help to administer users?

We will help anyone who contacts us by e-mail and we find has rights to administer users in the Aqilla instance in question. We will not help anyone who contacts us by phone (without subsequently contacting us by e-mail) or who does not have rights to administer users in the Aqilla instance in question. You will need to escalate your request within your organisation.


4) How many people (in the customer organisation) should be able to administer users?

We recommend that more than one person in your organisation is able to administer users (so if somebody leaves or is on holiday, you are not stuck). See point (2) above; you can have many user administrators.

Some Aqilla clients have many instances (e.g. one per country) and may have a local administrator for each instance (e.g. country). The Aqilla support service does not include training and we may refer support requests from local instance administrators to the senior person in the group finance team for that client (or their delegate).
