Prepayments

This document is used to accrue for anticipated expenses that have not yet been entered into Aqilla as (say) a purchase invoice or expense claim.

Accrued income is handled by the companion document Prepayments. 

An Accrual - Details document is shown below. Note that this may not look like your Accrual - Details document - here's why.

Document Fields

Each field on this document's header is described below. Mandatory entry fields are highlighted thus.

Field Name

Description

Document Date

The document date defaults to the current date but this can be amended by the user.

Document Reference

The document reference is automatically assigned by Aqilla.

Currency Code

If not entered defaults to base currency. See Multi-Currency.

Currency Rate

The default rate for the currency/period combination but this can be amended by the user. See Multi-Currency.

Entered By

The name of the user who entered this document is automatically assigned by Aqilla.

Memorised

See Documents.


Instructions for Use

Enter the account(s) and amount(s) to accrue. If a Currency Code is entered, the Value entered on the line will be in that currency and the equivalent base value will be calculated by reference to the Currency Rate defined in the header of the document; if no Currency Code is entered the Value will be in the base currency.

When posted (or rough posted) the specified account(s) will be debited for accrual documents and credited for prepayment documents in the current period, specifying the Transaction Date as the last day of the period. For Accruals, the accrual account will be credited with the corresponding line(s). For Prepayments, the prepayment account will be debited with the corresponding line(s).

At the time of posting, reversal entries will automatically be posted in the following period, specifying the Transaction Date as the first day of that period.

Your Aqilla consultant will configure the Accrual journal to specify the accrual account and the Prepayment journal to specify the prepayment account. 

In order to post the reversal entries automatically, the following period must have been define. See Configuration > Periods.

Like with any documents in Aqilla, Accrual and Prepayments documents can be copied to simplify repeated document entries.
